Terms of Service
Last updated: September 27, 2026
These terms are the contract between PanelBot and the hosting companies that use it. If anything here is unclear, email hello@panelbot.io and a person will answer.
The short version
- PanelBot answers and fixes your customers' hosting issues inside your billing portal. Your settings decide what it is allowed to touch.
- Only connect servers you own or manage, and make sure your own customer terms allow support actions on their accounts.
- PanelBot is not a backup service. A confirmed deletion is a real deletion. Keep backups.
- No automatic overage charges. Bundle credits never expire. Cancel anytime.
- Our liability is capped at what you paid us in the 12 months before a claim.
The summary is for orientation. The numbered sections below are the agreement.
1. Who these terms are between
PanelBot is operated by PanelBot LLC, a United States limited liability company ("PanelBot", "we", "us"). These terms are a contract between PanelBot and the business that creates an account ("you"). PanelBot is sold to businesses only. By creating an account you confirm that you are acting for a business, a one person company counts, that you have authority to bind it, and that you are not signing up as a consumer. If you do not agree to these terms, do not create an account.
2. The service
PanelBot is AI customer support for hosting companies. The widget loads inside your WHMCS or Blesta portal, answers your customers, runs hosting checks and fixes on the servers you connect within the policy settings you configure, and hands conversations to your team or files tickets when a person is needed. Each plan includes what the pricing page said it included when you bought it, and that description is part of this agreement.
3. Your account
You are responsible for what happens under your account. Keep your information accurate and your credentials secure, remove team seats when staff leave, and tell us at security@panelbot.io if you think someone got in who should not have. Team seats are for your own staff and contractors working your support desk.
4. Your servers and your authority
Connect only servers, panels, and billing portals that you own or are authorized to manage. Connecting infrastructure you do not control is a material breach of these terms and grounds for immediate suspension or termination. You grant PanelBot the access needed to provide the service on what you connect, limited by your policy settings. You can tighten those settings or disconnect a server at any time.
5. What you authorize PanelBot to do
PanelBot is read-only by default. It changes something only after the customer in the chat says yes. Higher impact actions, deletions among them, run only if you enabled them in your settings, and they need a second confirmation: the customer types the exact name of the thing being changed. A short list of actions is never automated and always goes to your team. You decide where these lines sit. You are responsible for the configuration you choose, and an action taken after the confirmations you configured is authorized by you.
6. Your customers
The people chatting with PanelBot are your customers, not ours. You own that relationship and everything it requires: terms with your customers that permit support actions on their accounts (confirmed deletions included), a lawful basis for sharing their data with us so we can support them, and compliance with the laws that apply to your hosting business. We process your customers' personal data on your behalf and on your instructions, as described in the Privacy Policy.
7. Backups
PanelBot is not a backup service. Some actions delete data after confirmation, and deleted data is usually gone for good. Keep backups of your infrastructure and your customers' data, independent of PanelBot. Where PanelBot restores something from a snapshot, it is using your existing backup tooling. It does not keep copies of its own.
8. Bugs, wrong answers, and the AI
We test PanelBot intensively against real scenarios before anything ships, and it checks the real server before it answers. It will still sometimes be wrong. It can misread a situation, or give an answer a senior technician would not have given. The confirmation flow, the policy settings, the audit log, and the live handoff exist because of this. Keep a human escalation path available to your customers, and read your audit log. Like any software, the service has bugs we have not found yet. It is provided as is and as available.
9. Plans, conversations, and billing
Plans include a monthly number of AI conversations, listed on the pricing page. A conversation is a distinct chat session as counted by the service. The usage meter in your dashboard is the source of record, and messages within a session do not count separately. Yearly billing is ten times the monthly price, two months free, renewing yearly. Monthly plans renew monthly. Prices do not include sales tax or VAT; where we have to collect tax, it appears as its own line at checkout.
We never charge overage automatically. When your conversations run out on a paid plan, you choose what happens next: add a chat bundle (100 conversations for $50) or move to a bigger plan. Chat bundles are not available on the Free plan. Bundle credits are spent after your plan allocation and never expire while your account is open. Plan prices can change with at least 30 days notice, never in the middle of a period you already paid for.
10. The Free plan
The Free plan includes 30 AI conversations a month on unlimited servers of every type, and needs no card. The 30 is a hard limit: when it runs out, the assistant stops taking new conversations until your month resets or you upgrade. The allowance resets every month and the plan has no end date, so there is nothing to cancel and nothing to convert. Escalations reach your Chat Dashboard when a teammate is online and file as tickets in your billing portal when nobody is, as on every plan, and the widget carries a "Powered by PanelBot" badge, as it does on Lite.
Upgrading is the only thing that starts a charge. You add a card, choose a paid plan, and billing starts that day at the price shown at checkout. Paid plans do not move back down to Free; to stop paying, cancel under section 11. Paid plans do not include a trial period.
If you started a trial before the Free plan launched, it runs to its original end date on the terms you accepted then: your card is charged when it converts, unless you cancel first, and we email you before that happens with the date and the amount.
11. Cancellation and refunds
You can cancel anytime from your dashboard, in one click. Cancelling stops the next renewal, and your plan runs to the end of the period you paid for. We do not refund the rest of a paid period, except where the law that applies to you requires it. If you think we got something wrong, write to us.
12. Who owns what
Everything you bring to PanelBot stays yours: your knowledge base, your transcripts, your audit logs, your configuration, your customers' data. You give us only the license needed to operate the service for you. We do not use your conversations to train AI models. We do use aggregated, de-identified service statistics (resolution rates across all tenants, that kind of thing) to improve and describe the service. Nothing in those statistics identifies you or your customers.
The service itself belongs to PanelBot, the software and everything that makes it run. These terms give you a subscription to use it, not a right to copy it, resell it as your own software, or reverse engineer it. Running the widget and dashboard white-labeled for your hosting customers, on plans that include white-label, is what white-label is for.
13. Confidentiality
We treat your non-public business information as confidential. You agree to do the same with ours, including anything you learn about how the service works that is not public. This obligation survives the end of this agreement.
14. Escalating a conversation to us
By default our staff cannot read your conversations. Tenant isolation is built into the service. If you escalate a specific conversation to us for review, you authorize us to view that conversation and its action history until the resulting ticket closes or you revoke access, whichever comes first. When the ticket closes, access ends on its own.
15. Acceptable use
Do not use PanelBot to break the law, and do not point it at infrastructure you do not control. Do not try to push the assistant outside the policy you configured or to reach another tenant's data. Do not probe or load test the service without asking us first. Security researchers are welcome; write to security@panelbot.io. Testing against your own tenant, inside your own policy lines, is fine.
16. Availability
We plan maintenance for quiet hours, and the assistant is configured with more than one upstream provider and switches when one fails. We do not promise that a conversation already in progress survives a provider outage. We run this service the way we ran production hosting servers, which is to say carefully, but we do not promise uninterrupted service, and these plans do not carry a contractual SLA. If your business needs one, ask about Enterprise.
17. Suspension and termination
You can close your account at any time. We can suspend or terminate for non-payment, material breach (connecting servers you do not control is the big one), a security risk to the service or other tenants, or a legal requirement. Where it is reasonable, we warn you first and give you a chance to fix it. After your account closes you have 30 days to ask us for an export of your account data. We delete your tenant data from live systems within 60 days after that window, keeping only what tax and accounting law makes us keep. Backup copies age out on our backup schedule, within 6 months.
18. Disclaimers and limitation of liability
To the maximum extent permitted by law: the service is provided as is and as available, without warranties of any kind, express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be uninterrupted or error free.
Neither side is liable to the other for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost revenue, or lost data, even if advised that such losses were possible. Our total liability for all claims arising out of or relating to the service, taken together, is capped at the amount you paid us in the 12 months before the event giving rise to the claim. This section does not limit liability that the law does not allow to be limited, does not excuse willful misconduct, and does not limit your obligation to pay fees you owe.
19. Indemnity
You will defend and indemnify PanelBot against third party claims that arise from your hosting business, your relationship with your customers, infrastructure you connected without authority, or your breach of these terms. We will defend and indemnify you against third party claims that the service itself, used as documented, infringes their intellectual property rights.
20. Governing law and disputes
These terms are governed by the laws of the State of Wyoming, United States, without regard to its conflict of law rules. Disputes belong to the state or federal courts located in Wyoming, and both sides consent to that venue. Before either side files anything, the complaining side will email the other and allow 30 days to work the problem out.
21. Changes to these terms
If we change these terms in a way that matters, we email your account owner at least 30 days before the change takes effect. Changes are never retroactive. If you keep using the service after the effective date, the new terms apply. The current version lives at this page, with the date at the top.
22. Everything else
If a court finds part of these terms unenforceable, the rest stays in force. Not enforcing a term once does not waive it. You may not assign this agreement without our consent, except to a successor of your whole business; we may assign it to a successor of ours. Neither side is responsible for failures caused by events outside reasonable control. The sections you would expect to survive termination do survive: payment obligations, confidentiality, who owns what, the liability limits, indemnity, and governing law. These terms, your order, and the Privacy Policy are the entire agreement between us. Notices to us go to hello@panelbot.io. Notices to you go to your account owner's email address.
